The Expo Stand | Pop-Up WiFi Playbook: How to Know What Connectivity You Really Need

When planning your exhibition stand or pop-up, connectivity often gets left to the last minute, but it shouldn’t. The success of your demos, lead capture, live streaming, or even contactless payments depends on a reliable network.

Here’s your quick guide to understanding what WiFi you actually need on your stand, the options available, and how to avoid common (and costly) mistakes.

Step 1: Check What the Venue or Space Offers

Most exhibition centres and event venues offer public WiFi or paid exhibitor connections, but not all connections are equal.
Before you sign up, ask:

  • Is it shared with visitors or dedicated to exhibitors?
  • What’s the bandwidth and upload speed?
  • Is the network managed or monitored during the show?
  • How many devices can connect?

⚠️ Don’t be fooled by the venue’s public WiFi.
While it might seem like a quick fix, public WiFi is often congested, unsecure, and unstable when thousands of visitors arrive.
If your stand relies on connectivity — for streaming, product demos, or live lead capture — this could mean slow load times, dropouts, or complete failure right when you need it most.

Step 2: Understand What You’re Connecting

Make a quick inventory of your tech setup:

  • Laptops or tablets for demos
  • Smart displays, touchscreens, or digital signage
  • Payment terminals
  • Streaming or video conferencing equipment
  • IoT devices or sensors

Knowing exactly what’s on your stand will help determine the bandwidth, coverage, and number of access points required.

A good rule of thumb:

  • Basic lead capture & email sign-ups → Low bandwidth (5 Mbps+)
  • Streaming product demos, live video → Medium bandwidth (10–20 Mbps+)
  • Multi-device, interactive experiences → Higher bandwidth (50 Mbps+)

Step 3: Right-Size Your WiFi (Don’t Overpay)

There’s a fine balance between under-specifying (risking slow or broken connections) and overpaying for capacity you’ll never use.

You might not need a 10Gbps connection for a single stand — but you do need a dedicated, private connection that guarantees reliability.

Ask yourself:

  • How many simultaneous users will be on the network?
  • Are you uploading or downloading data?
  • Do you need coverage beyond your stand (e.g. for roving staff)?

Noba’s event engineers help you calculate the exact requirements so you only pay for what you need…nothing more.

Step 4: Explore Your Options

When it comes to stand connectivity, you’ve got several routes:

Venue WiFi

  • ✅ Convenient, already installed
  • ❌ Often congested and shared
  • ❌ Limited control and monitoring

Wired Connection from Venue

  • ✅ More stable than WiFi
  • ❌ Can be costly
  • ❌ Often limited to a single device

Noba Plug + Go Solutions

  • ✅ Dedicated WiFi network for your stand
  • ✅ Pre-configured kit, delivered ready to plug in
  • ✅ Works anywhere, independent of venue network
  • ✅ Scalable for one stand or a multi-zone activation
  • ✅ Supported by remote engineers

Our Plug + Go service is designed for exhibitors who need fast, secure, and simple setup without relying on venue infrastructure. It’s ideal for everything from small demo pods to brand activations — just power up, connect, and go.

Step 5: Plan Early

Connectivity is often the last thing booked — and the first thing to cause stress when it’s not working.
To avoid last-minute scrambles:

  • Confirm your stand location and floorplan.
  • Confirm your connectivity requirements – number of devices, purpose of connection and the rough size of the area the WiFi needs to cover.
  • Confirm setup, live and de-rig dates and timings.
  • Book your connectivity at least 2–3 weeks before the show

Early planning ensures you get the right service, delivered, tested, and ready before the event doors open.

In Summary: Your WiFi Checklist

✅ Check the venue’s WiFi quality and restrictions
✅ Map out your devices and data needs
✅ Choose a dedicated, managed solution
✅ Don’t rely on public WiFi
✅ Don’t overspend on unused capacity
✅ Plan early and test before the show
